Client Employee Document -EMP Files

The EMP Files module in RISPER CRM allows you to securely store and manage employee-related documents of your clients.
Each client may have anywhere from 3 to 100+ employees, and this module ensures all employee documents are tracked, monitored, and renewed on time.

This feature is designed for internal operations and sales enablement, not for client self-access.

Accessing EMP Files

Go to Clients from the left-side menu.

Open a specific Client Profile.

Click on the EMP Files tab.

Important:
EMP Files are visible and manageable only by your company staff or Super Admin, based on Roles & Permissions.

Purpose of EMP Files

EMP Files are used to:

Store employee documents for your clients

Track document expiry dates

Send automated and manual reminders

Enable renewal follow-ups and upselling opportunities

Clients do not have access to add or manage these files.

Adding Employee Documents (EMP Files)

Inside the EMP Files tab, click Add File.

Enter Employee Details:

Employee Name / Employee ID (if applicable)

Select Document Type:

Passport

Visa

Labor Card

Insurance Card

Any other employee-related document

Upload the document file.

Select the Effective Date.

Select the Expiry Date.

Click Save.

Once added, all employee documents will appear in a table format showing:

Employee Name

Document Type

Effective Date

Expiry Date

Remaining Validity Period

Each employee appears as a separate line item, making it easy to track large teams.

How Automatic Reminders Work

The system continuously monitors all employee document expiry dates.

30 days before expiry, an automatic reminder email is sent to the client.

No manual intervention is required.

Manual / Instant Document Reminders

You can send reminders at any time, even before the automatic schedule.

Sending Reminder for a Single Document

Select the checkbox next to the required EMP file.

Click Send Reminder.

The reminder email will be sent immediately.

Sending Reminder for Multiple Documents

Use the multi-select checkbox in the table header.

Select multiple employee documents.

Click Send Reminder.

All reminders will be sent instantly.
